Overview
Assigning technicians in ShopView connects specific jobs and repair lines to the people performing the work. Advisors can assign techs directly from a new or existing Work Order (WO) or through the Schedule, ensuring that workloads are balanced and time is accurately tracked.
Please note: ShopView does not limit the technicians from punching into a job they are not assigned to, this ensures technicians can move freely between the jobs without having to request access to a job to help out if needed.
How It Works
There are four main ways to assign a technician:

Existing Line (Edit Line modal) | When updating or changing assignments on existing work, users can add up to 5 technicians | Adjust techs if work is reassigned or a second tech is needed |
Lead Technician (WO card, top left of the WO) | When you would like to assign one technician to all lines on the WO. | The Lead Technician will be assigned to all the lines on the WO, and any new lines will default to them. Other techs can punch in, and it won't remove any previous data from the line (Example: If a tech already has time on the line they will remain shown on the line and their time punch will remain) |
Schedule | When planning or dispatching future work. Only the technician whose schedule you drop the WO in will be assigned; you can add more within the Edit Line modal if needed. Please note: Using the Assign Existing WO or Create New Work Order from the schedule does not assign a technician but they are still able to punch into any line. | Assign tech and job time block visually before work begins |
Each method ultimately links the technician record to a WO line, which controls visibility, time tracking, and workload distribution.
When an unassigned technician punches into a line, they will also be shown on the line and within the timesheets.
Step-by-Step Example
Assigning a Technician When Creating a New Line
From a new WO, after selecting a customer and asset, the New Line modal appears.
Complete the job details under “What are you doing?” and “Why are you doing it?”
Use the Technician dropdown to assign the tech responsible for this job.
Enter Labor Rate, Estimated Time, and check Is Line Authorized if applicable.
Click Save & Close or Save & Add Part to continue building out the WO.
Once the tech clocks onto the job, the WO automatically moves to In Progress.
Assigning or Changing a Technician on an Existing Line
Open the WO and go to the Lines tab.
Click on the line to open the Edit Line modal or select the three-dot menu next to the line and Edit Labor.
Use the Technician dropdown to assign or change the technician.
Save your changes.
Assigning a Technician Using the Schedule
Open the Schedule view.
Drag and drop an Assigned or Unassigned WO from the listing under the Three-line menu in the top left.
User will be asked to confirm if they would like to assign an unassigned job or reassign a job if already assigned.
To add only a WO to their schedule, choose the technician row and time slot where the work should be scheduled. Please note this will not assign them but they can still punch in.
Click Assign Existing Work Order or Create New Work Order
Assigning an existing WO will open a modal and allow you to select from a drop-down
Creating a new WO will create one without any lines, you can go in after and add lines, this is a placeholder appointment.
Things to Note
Technicians do not need to be assigned to punch in for a job
Up to 5 technicians can be assigned to a single line
Reassigning a tech after work has started will not delete existing time logs; the additional technician's time is logged whether they are assigned or not.
Dragging and Dropping an Assigned or Unassigned WO onto the Schedule will ask for user confirmation to assign.
