This report allows managers to review, edit, and correct timesheets for payroll, job costing, and billing accuracy. It is a key tool for reconciling technician hours and maintaining clean labor records.


What the Timesheet Activities Report Shows

The report displays every punch in and punch out made by technicians, including:

  • Date

  • Technician name

  • The work order associated with the time or N/A for Department time

  • Clock in activity: The specific labor line the technician clocked into or the Department name

  • Clock-in time

  • Clock-out time

  • Total hours for that punch

  • Work order hours

  • Internal/Department punches (for non-work-order activities)

  • Modified by/Date/Time

  • Comment: either the tech story on the line or the task description inputed when clocking out of a department

  • Time entries are only posted to the report after the technician clocks out. However, active timesheet activities will be shown.

This is the central location for reviewing and correcting all time entries.

Adding/Editing Timesheet Entries

The Timesheet Activities Report allows adding and full editing of any time punch.

You can add:

  • User

  • Punch-in time

  • Punch-out time

  • Date of the punch

  • Work order assignment

  • Line assignment within the work order

  • Or assign to a department

You can edit:

  • Punch-in time

  • Punch-out time

  • Date of the punch

  • Work order assignment

  • Line assignment within the work order

  • Move time to a different work order

  • Move time to a department (non-billable labor)

This makes it easy to correct technician errors such as:

  • Forgetting to clock out

  • Punching into the wrong job

  • Clocking time to the wrong labor line

  • Clocking into department time that should have been billable

  • Punching into a labor line they are not assigned to, resulting in unexpected labor entries


Department Time Tracking

Not all hours are billable. Departments are used to categorize internal or non-job activities.

Users may clock into departments such as:

  • Admin

  • Cleanup

  • Training

  • Shop Supervision

  • Maintenance

When time is moved to a department:

  • It no longer counts toward any work order

  • It is treated as internal, non-billable time


Filtering the Report

You can filter the Timesheet Activities Report using:

  • Date range filters (e.g., today, this week, this month)

  • Staff name

  • You can also filter all the columns

Filtering allows the shop to isolate:

  • A specific technician’s day or week

  • A single work order’s labor history

  • Punch corrections needed for payroll

  • Non-billable department time


Punch Accuracy & Automatic Behavior

How ShopView enforces accurate time tracking:

  • No slippage between lines: Clocking into a new line automatically clocks the tech out of the previous line.

  • Cannot be clocked into two places at once.

  • Finishing a line does not automatically clock out—the tech must move to the next activity.

These rules ensure every minute of staff time is tracked inside the Timesheet Activities Report.


How the Report Connects to Payroll

The exported payroll report draws from the same time punches shown in Timesheet Activities.

Because payroll accuracy depends on clean timesheets:

  • Tech punches must be reviewed regularly

  • Errors must be corrected early

  • Department time should be categorized properly

The Timesheet Activities Report is the shop’s main tool for accomplishing that.


When to Use the Timesheet Activities Report

Payroll Prep

Review and adjust punches before exporting payroll hours.

Billing Corrections

Fix any punches assigned to the wrong work order or labor line.

Training Technicians

Identify:

  • Frequent mis-punching

  • Missed clock-outs

  • Excessive department time

Audit Tracking

Quickly locate all punches from a specific day, tech, or job.


Practical Uses

  1. Tech punched out at the wrong time → edit punch-out

  2. Tech clocked into the wrong line → move to the correct line

  3. Tech clocked into the wrong work order → move time to a different work order

  4. Tech clocked into a work order but should have been doing internal tasks → move to a department

Troubleshooting Common Issues

Missing Labor Hours

If labor hours appear on a work order but are not visible in the Timesheet Activities report, the issue is often related to technicians still being clocked in. Time entries are only posted to the report after the technician clocks out.

Steps to Resolve:

  1. Ask the Technician to Clock Out:

    • Ensure the technician clocks out of their task. Once they do, the time entry will appear in the Timesheet Activities report.

  2. View In-Progress Time from the Work Order:

    • Open the relevant work order.

    • Click the three dots on the right side.

    • Select Timesheet.

    • Review the current time entries and use the Edit option to adjust or move time to the correct work order line or department as needed.

Note: Technicians can punch into a labor line even if they are not assigned to it, which may result in unexpected labor entries. Corrections can be made using the steps above.

Access Issues

If you suddenly cannot access the Timesheet Activities report after it previously worked, the issue may be related to browser cache or cookies, especially after a software update.

Steps to Resolve:

  1. Perform a hard refresh of the page.

  2. Log out of ShopView.

  3. Log back into ShopView. These steps often resolve access issues caused by outdated browser data.

Q: Why are labor hours missing from the Timesheet Activities Report?

A: Labor hours may not appear if the technician is still clocked in. Ensure the technician clocks out to post the time entry to the report.

Q: What should I do if I cannot access the Timesheet Activities Report?

Q: Can I delete a time punch?

A: You can not delete a time punch but you can move a time punch to another work order or department and also change the dates/times. We may have the feature in the future.
