Returns Overview
The Returns page allows your shop to track, process, and manage parts that are being returned either to a vendor or back into shop inventory. This includes handling vendor credits, restocking fees, packing slip tracking, and ensuring accurate financial reconciliation.
Returns are created automatically when a part is marked as returned from a work order, and they remain in the Returns list until the shop processes either a vendor credit or an inventory return.
How Returns Are Created
Returns originate from Work Orders.
To return a special order part from a work order:
Right-click the part on the Work Order.
Select Return Part.
Enter the Return Reason.
Once submitted, the part moves into the Returns section of the Parts module.
To return a inventory part from a work order:
Click into the Edit part modal by clicking on the part on the Work Order.
Select Return Part.
What the Returns Page Shows
Each return displays:
Part description
Quantity
Vendor
Cost
Return reason
Related work order
Whether a packing slip is recorded
Whether a credit has been received
Filtering Returns by Vendor
When you click on a returned part:
The system auto-filters to all returned parts from the same vendor.
This prevents missing items when processing a batch of returns.
Returning Parts to a Vendor (Vendor Credits)
When the vendor picks up the returned part(s) and issues a credit, you process that credit in ShopView.
Steps to Receive a Vendor Credit:
Select the returned part(s).
Click Receive Credit.
Enter the Credit Memo Number provided by the vendor.
Confirm the quantities and amounts.
Add any restocking fee if charged.
Click Post Credit.
After posting:
The credit appears in Vendor → Credits
Returned items disappear from the Returns list
Packing Slip Tracking
Vendors commonly provide a packing slip when picking up returns.
A packing slip:
Lists returned parts
Confirms the pickup
Serves as proof until the credit memo is issued
To record one:
Click the returned part
Click Receive Credit
Enter the Packing Slip Number
Choose Add Packing Slip (without posting a credit)
Packing slips allow shops to track pending returns even before receiving a credit memo.
Returning Parts to Inventory
Some parts don’t need to go back to a vendor. These can be returned directly into inventory. This can be used to return special order parts.
To do this:
Return the part off the work order
In the returns screen
Click Return to Inventory (house icon)
Quantity is added back to inventory
Cost is applied using FIFO / weighted average rules
Inventory parts returned off a work order go directly back to inventory without needed to process anything in the returns screen.
Credits Page
Once a vendor credit is posted:
It appears in Parts → Credits
It is tied to the vendor’s financials
It can be reconciled when paying vendor invoices
The Returns feature gives the shop complete control over tracking and processing returned parts. It ensures:
Vendor credits are properly recorded
Inventory quantities remain accurate
Packing slips are tracked for uncredited returns
Restocking fees are accounted for
Financial reconciliation between vendors and the shop remains clean and auditable
Returns flow directly from the work order, through the Returns page, and into either inventory adjustments or vendor credits—keeping the parts department tightly organized.
