Digital Inspections replace paper-based inspection sheets, letting your team build reusable templates and attach them directly to work orders. Technicians complete inspections on mobile, and customers receive a signed PDF by email.
Finding Digital Inspections
From the main navigation, go to Settings.
Select Digital Inspections (also referred to as "Check Sheets").
You'll see a list of all your templates with their current status: Draft, Published, or Archived.
Creating an Inspection Template
Click New Template.
Give your template a name (e.g., "Pre-Purchase Inspection" or "Oil Change Check Sheet").
Add fields to build your inspection form. Available field types include:
Checkbox — pass/fail or yes/no items
Text — open-ended notes
Measurement — numeric values with units
Photo — image capture
Instruction — non-interactive guidance text for the technician
For any checkbox or selection field, you can configure a specific response (such as "Not Okay") to require a photo before the technician can proceed.
When your template is ready, click Publish. To save your progress without publishing, click Save as Draft.
Managing Templates
Once a template is created, you have four options:
Publish — makes the template available to attach to work orders
Save as Draft — keeps the template hidden until you're ready to publish
Duplicate — copies the template so you can create a variation without starting from scratch
Archive — removes the template from active use without deleting it
Attaching an Inspection to a Work Order
Open the work order.
Click Add Inspection (or the Digital Inspection section within the work order).
Select the published template you want to use.
The inspection is now attached and ready for the assigned technician.
Completing an Inspection (Technician View)
Inspections are designed to be completed on mobile with large tap targets and voice-to-text support.
Open the work order on your mobile device.
Tap the attached inspection to open it.
Work through each field — tap checkboxes, enter measurements, add notes, or capture photos as required.
If a field is marked as requiring a photo (e.g., a "Not Okay" result), the app will prompt you to take one before moving on.
When all fields are complete, tap Sign and add your technician signature.
Tap Submit. The completed inspection is saved to the work order and a PDF is automatically generated and sent to the customer by email.
Tips
Use Instructions fields to embed reminders or safety notes directly into the inspection flow — technicians see them in context without leaving the form.
Duplicate a published template before editing it so you always have a clean backup.
Archived templates are not deleted — you can unarchive them at any time.
