The Technician Efficiency Report shows how efficiently each technician is performing by comparing the hours they were given to complete a job against the hours they actually clocked. Shop managers use this report to evaluate technician productivity, identify training opportunities, and keep visibility into labor performance across the shop.
The Three Types of Hours on a Work Order
To read this report correctly, it helps to know that every labor line on a Work Order can carry three different kinds of hours:
Estimated Hours: The labor hours you are billing the customer for.
Tech Hours: The hours assigned to the technician to complete the job. This is the expectation time, not payroll time.
Actual Clocked Hours: The hours the technician actually clocks while working on the line.
The Technician Efficiency Report compares Tech Hours against Actual Clocked Hours. Estimated Hours and payroll hours are not part of the calculation.
Invoiced vs. Completed Tabs
At the top of the report you will see two tabs. Each one changes which Work Orders are included:
Invoiced: Shows technician hours from Work Orders that were invoiced within the selected date range.
Completed: Shows technician hours from Work Orders that were completed as a whole within the selected date range.
Good to know: The Completed tab only includes lines from Work Orders where the entire Work Order has been marked completed. If a technician has completed one line but other lines on the same Work Order are still open, that line will not appear in the Completed tab until the whole Work Order is completed.
What the Technician Efficiency Report Shows
Each technician appears as a row with key performance metrics:
Clocked Hours: The total hours the technician clocked into Work Orders included in the selected tab and date range.
Tech Time Hours: The Tech Hours assigned to the technician on those Work Order lines.
Hours Profit (Variance): The difference between Tech Time Hours and Clocked Hours.
Positive variance = the technician finished faster than the Tech Hours assigned
Negative variance = the technician clocked more than the Tech Hours assigned
Efficiency (%): Calculated as Tech Time Hours ÷ Clocked Hours × 100
Expanded Line-by-Line Detail
Each technician row can be expanded. Expanding reveals:
All Work Orders or invoices the technician contributed to
Customer
Each labor line on those Work Orders
Actual Clocked Hours
Tech Time Hours on each line
Individual line efficiencies
Using Date Filters
The report changes dynamically based on the selected date range. For example:
Filtering by This Month shows all tech hours for Work Orders invoiced (or completed) during the month
Filtering by This Week creates a much smaller dataset
Technicians only appear if they have activity within the filtered date range.
Downloading Reports
Two download options are available behind the three dot menu:
Summary Download: Generates a document showing exactly what appears on screen, with one line per technician and their Clocked Hours, Tech Time Hours, and efficiency stats.
Expanded View Download: Generates a detailed technician-by-technician breakdown with each technician on their own page, all lines they worked on, and individual line efficiencies.
How the Data Is Calculated
Clocked Time
Recorded whenever a technician:
Clocks into a Work Order line
Clocks out
Moves from line to line (automatic transitions prevent "slippage")
Tech Time Hours
Come from the Tech Hours assigned to each Work Order line. This is the expectation time given to the technician, not the Estimated Hours billed to the customer, although the two may be the same. It is also not based on payroll hours.
Efficiency
Shows how much time was expected versus how much time was worked:
100% or higher = the technician completed the work within or faster than the Tech Hours assigned
Below 100% = the work took longer than the Tech Hours assigned
Note: If your shop does not assign Tech Hours to a line, that line has nothing to compare clocked time against, so efficiency for it cannot be calculated. Assigning Tech Hours consistently is what makes this report useful.
Comparing Payroll Hours to Billed Hours
The Technician Efficiency Report does not use payroll hours. If you want to compare a technician's paid hours against the hours billed for the same period, you can:
Export the Payroll Timesheets CSV from Reports and compare it with the Technician Efficiency Report using the same date range.
Use the Technician Utilization Report to see how each technician's clocked time was split between billable Work Orders and internal jobs.
