Customer Documents: The New Estimate and Invoice Layout

Your estimates, invoices, credits and parts sales have a refreshed design. Same documents, same information, easier to read. Here is what is different.

Overview

Every estimate, invoice, credit and parts sale you generate uses a refreshed design. The information on the page is the same, and the settings you already chose still apply. What changed is the layout: the page is cleaner, the type is easier to read, and the number that matters is the easiest thing to find.

How the page reads now

  • Your shop name and logo at the top.

  • Who the work is for, and the asset it is for.

  • The work itself: labor and parts.

  • The totals at the end, with the headline figure in its own box. That is Estimated Total on an estimate and Balance on an invoice, so nobody has to hunt for the number that matters.

On a document that runs to more than one page, your shop name and the document number print at the top of every page.

What changed on the dates

  • An estimate shows Estimate date in place of the old Invoice Date. An estimate no longer shows a due date, because it is not owed yet.

  • An invoice shows Due date until it is paid in full, and Paid date in its place once it is. The paid invoice is your customer's receipt, so there is no separate receipt document.

What else you will notice

  • The asset prints on every document that has one attached.

  • Approval codes have their own line, labelled Approval Code. If you use integrated billing, the approval code used to print under Authorizer.

  • Work orders and parts sales now have an Authorizer field, so you can record who approved the job and print their name on the document.

  • A field you leave empty is left off the document. If a job has no customer purchase order, no authorizer or no mileage, those lines simply do not print, so the page stays clear instead of showing empty labels.

What has not changed

  • The information on your documents.

  • Your Invoice Details settings.

  • How you create, send and print documents.

  • Your logo, your shop details and your disclaimer.

FAQs

Do I need to reprint anything I have already sent?

No. A document you have already sent or printed is unchanged. The refreshed design applies to documents you generate from September 9, 2026.

Will my customers notice?

Yes, and that is the point. The page is cleaner and the amount owing is easier to find. The wording and the figures are the ones your customers already know.

Can I go back to the old design?

Yes. Though every shop moves to the refreshed design together there is an ability to revert back to the old design. You'll navigate to Settings, then Settings > Invoice. Once in the invoice settings you'll find the "Legacy invoice layout" toggle. Turn this on to switch back.

Does this change what my customer owes?

No. No figure on the document changes. Only the layout does.

Will it still print clearly in black and white?

Yes. The design was built to print cleanly in color and in black and white.

What happened to Invoice Date on my estimates?

It is now Estimate date. The old label said Invoice Date on a document that was not an invoice, which confused customers.

My customer asked for a receipt. Where is it?

The paid invoice is the receipt. Once an invoice is paid in full it shows a Paid date, and that is the document to send.
