Overview
Work orders and parts sales have an Authorizer field, so the record of who approved the work stays with the job. It is optional, and it prints on the estimate and the invoice.
Where it lives
The Authorizer field sits in the customer card on the left of every work order, directly under Contact and Phone. Pick which of the customer's contacts approved the work; only contacts with Approves Work turned on appear in the list, and the selected contact's phone number shows underneath.
Setting it up
Add an authorizer from the customer's contacts page: create or edit a contact and turn on Approves Work. They appear in the Authorizer list immediately, no refresh needed.
Who appears in the list
Only the customer's contacts marked Approves Work appear. If the person you need is missing, open the customer, find that contact and turn on Approves Work.
Adding an authorizer
Open the Work Order (or Part Sale).
Find the customer card on the left side of the page.
Select Authorizer, under Contact and Phone.
Choose the contact who approved the work.
The name saves as soon as you choose it, and prints on the estimate and the invoice.
Where it prints
The name prints under Authorizer on the estimate and the invoice. If you use integrated billing, your approval code now prints under its own Approval Code line, separate from the authorizer.
How it behaves
Optional and empty by default. A "No authorizer" option clears the selection. An empty Authorizer never prints.
Locks once the work order is invoiced. If the invoice is later voided or reversed, the field becomes editable again.
Parts sales get the same treatment, and the name prints on the Parts Sale Estimate and Invoice.
Authorizer vs. Approval Code
These are now two separate fields on customer documents. Authorizer is the person who approved the work. Approval Code is where integrated billing approval codes print; they used to appear under the Authorizer label. See the article Customer Documents: The New Estimate and Invoice Layout.
