Time Clock Usage

Overview

The Timeclock module provides a shop-wide view of technician hours and attendance.

Step-by-Step Instructions

1. From the top navigation bar, click on Reports to open your reporting dashboard.



2. The Timesheet page will open automatically, showing all staff clock-in and clock-out activity.


3. Use filters to view specific dates or employees.


4. Export timesheet data for payroll.

Pro Tips

  • Supervisors and Admins can edit or clock out any technician's time entries from the Timesheet Activity Report.

  • Timesheets feed directly into efficiency reporting — inaccurate clock entries will affect the Stats tab on work orders.

  • Use modification timestamps to track recent changes and verify accuracy.

  • Encourage technicians to clock in and out promptly to minimize the need for manual adjustments.

  • Use the combined Tech Efficiency tabs (Invoiced + Completed) cautiously, as they may not reconcile with Payroll Timesheet due to differing timeframes.

Common Questions

Q: A technician forgot to clock in. How do I add the time manually?

A: Go to Reports → Timesheet Activity Report. Click + Add Entry and select the technician, work order, line, and start/end times. Only Admins and Supervisors can add manual entries. Alternatively, if the job is attached to a work order, you can ask the technician to briefly clock into the relevant work order. Then, open the work order, go to the Timesheets section, and edit the technician’s time entry as needed.

Q: How do I fix a time entry that ran too long?

A: Find the entry in the Timesheet Activity Report, hover over it, and click Clock Out to set the correct end time. An Edit icon will then appear to further adjust the entry. Note that ShopView does not have an automatic undo function for adjustments. If an edit goes wrong, you can manually re-edit the entry to correct it. Additionally, the system logs when an entry was last modified, which can help you track changes.

Q: How do I move time from one work order to another?

A: In the Timesheet Activity Report, hover over the entry and open the three-dot menu → Move. Select the correct work order and line.

Q: My clocked hours and invoiced hours don't match. Why?

A: These are two different things. Clocked hours are the actual time a technician punched in and out. Invoiced (Estimated) hours are what the customer is billed for. You set the billed hours in the Estimated Time field on the line. To compare both, go to the Stats tab of the work order — it shows Clocked, Estimated, and Actual hours side by side. Q: Why do my different time tracking reports show different numbers? A: Time tracking reports in ShopView measure different aspects of time and productivity, which can lead to discrepancies. For example:

  • Payroll Timesheet: Tracks hours based on when time was clocked, including all hours within the selected date range.

  • Tech Efficiency: Measures technician productivity and includes hours tied to work orders invoiced or completed within the selected date range, even if the hours were worked outside the period.

  • Sales (Invoiced Labor Hours): Reflects estimated labor billed on work orders, which may differ from actual clocked hours.

Discrepancies occur due to differences in measurement criteria, timeframes, and factors like open work orders or unassigned labor. To reconcile, compare work order details in the Stats tab, ensure reports cover the same date range, and understand that each report serves a different purpose.

Q: A technician can't clock in. What do I do?

A: First check that the work order is in an active status (not Completed or Invoiced). If the WO is active, have the technician try refreshing the app. If the issue persists, an Admin can add the time entry manually from the Timesheet Activity Report.

Q: Can I see overtime?

A: Yes, overtime hours are flagged automatically in the Timesheet Activity Report.

Q: Is timesheet data exportable?

A: Yes — use the Export button in the Timesheet Activity Report to download as CSV or PDF.
