Permissions and Roles

To edit employee times in ShopView, you must have the appropriate permissions. Only users with the Admin, Senior Service Advisor, or Office role can make edits to employee times. Ensure your user role is correctly assigned if you encounter issues with editing times. If you have the appropriate role you will be able to manage all timesheets. There is no limit to only specific employees.

Common Time Tracking Scenarios

  1. Employee Appears Clocked In After Leaving: Sometimes, an employee's clock-in status may not update correctly due to cached data or other system issues.

  2. Technician's Time Entry Continued Running: A technician's time entry may remain active even after they have left for the day, requiring manual correction.

  3. Unable to Assign Technician to Timesheet: This issue may occur if the technician is not properly setup in the system, or has not been added to the system. Ensure all technicians have the appropriate level of permissions.

  4. Browser or UI Issues After Software Update: Problems such as inability to edit timesheets or move labor to a different repair order (RO) may arise due to stale browser cache or cookies.

Correcting Time Entries

If a technician’s time entry continued running after they left, you can correct it by clocking them out and editing the entry. Follow these steps:

  1. Navigate to the Reports section in ShopView.

  2. Open the Timesheet Activity Report.

  3. Locate the active timesheet entry for the technician.

  4. Hover over the entry and click Clock Out button on the right side.

  5. Enter the time entry end date and time

Once clocked out, an Edit icon will appear in the same spot.

Troubleshooting Browser Issues

After a software update, you may encounter issues such as being unable to edit timesheets, move labor to a different repair order (RO), or find certain UI options. These problems are often caused by stale browser cache or cookies. To resolve these issues, follow these steps:

  1. Perform a hard refresh of the ShopView page in your browser. This clears cached assets and reloads the page.

  2. Log out of ShopView and then log back in. This action clears stale cookies and refreshes your session. These steps can restore functionality and resolve issues caused by updates. If the problem persists, ensure your browser is up-to-date and try accessing ShopView from a different browser to validate it's working.

These steps allow you to accurately adjust the technician’s time entry to reflect the correct work hours.
